Job Title: Staff Accountant

Position Summary

The Staff Accountant supports daily accounting operations, payroll processing, accounts receivable, general ledger maintenance, and financial reporting. This role works closely with the Accounting Manager and internal departments to ensure accurate financial records, compliance with regulations, and timely reporting.

Key Responsibilities

Payroll & Employee Accounting Support

  • Assist with biweekly payroll processing using ADP, including reviewing reports and resolving issues
  • Import approved payroll data into the accounting system
  • Support employee terminations, manual checks, and coordination with HR
  • Run and maintain payroll-related reports, including retirement and regulatory reporting
  • Assist with quarterly and annual payroll-related filings

Accounts Receivable & Cash Management

  • Verify and troubleshoot AR and AP data imports from integrated systems
  • Set up new customers and maintain accurate account records
  • Prepare and send monthly customer statements
  • Receive and apply customer payments and prepare bank deposits
  • Maintain organized financial records and supporting documentation

General Ledger & Reporting

  • Record daily financial transactions and prepare journal entries
  • Perform bank, credit card, and balance sheet reconciliations
  • Assist with month-end, quarter-end, and year-end close processes
  • Help prepare financial statements and supporting schedules

Taxes, Compliance & Audit Support

  • Assist with sales and use tax return preparation and online payments
  • Support internal and external audits by providing documentation and explanations
  • Gather information for various federal, state, and local tax filings

Systems & Process Support

  • Serve as a liaison for accounting system issues and troubleshooting
  • Enter and maintain vendors, customers, accounts, and items in the accounting system
  • Assist with process improvement initiatives to enhance efficiency and accuracy

Additional Duties

  • Support budgeting and forecasting efforts as needed
  • Complete other accounting-related tasks as assigned by the Accounting Manager

Required Skills and Qualifications

Education & Experience

  • Bachelor's degree in Accounting or Finance
  • 5+ years of relevant accounting experience

Technical Skills

  • Proficiency in accounting software (e.g., NetSuite, QuickBooks, SAP, Oracle)
  • Strong Microsoft Excel skills
  • Solid understanding of GAAP, financial reporting, and tax regulations

  • Excellent attention to detail and accuracy
  • Strong organizational and time-management skills
  • Analytical and problem-solving abilities
  • Effective written and verbal communication skills
